Vendor master hygiene: the quiet control behind clean payments
Duplicate vendors, stale bank details and missing tax data cause duplicate payments, fraud and compliance problems. A clean vendor master prevents all three. A practical guide to cleaning it and keeping it clean.
Every payment your company makes starts with a vendor record. If that record is wrong, everything downstream inherits the problem: the payment goes to the wrong account, the same supplier gets paid twice, or tax is deducted at the wrong rate.
The vendor master is rarely anyone’s favourite project. It is one of the most effective controls you have.
What goes wrong
- Duplicate vendors. The same supplier set up twice, with slightly different names or codes.
- Stale records. Vendors unused for years, still active and still payable.
- Bank detail changes. The most common route for payment fraud is a request to change a supplier’s bank account.
- Missing or wrong tax data. Tax IDs, registration status and withholding codes that don't match the supplier.
- Links to employees. A vendor sharing an address, phone number or bank account with a member of staff.
Clean it once
Find duplicates
Match on name (allowing for spelling and legal suffixes), tax ID, bank account, address and phone number. Agree which record survives and merge the history.
Block the dormant
Vendors with no activity in, say, eighteen months should be blocked for payment. Reactivating one should need a request and an approval.
Verify what matters
Check tax and registration details against official sources. Record when each was checked.
Look for conflicts
Compare vendor bank accounts, addresses and phone numbers with the employee master.
Keep it clean
| Control | What it prevents |
|---|---|
| Duplicate check before a new vendor is created | Two records for one supplier |
| Bank change confirmed by a call to a known number | Payment diversion fraud |
| Separate people for creating vendors and paying them | Fictitious vendors |
| Monthly report of master data changes | Unauthorised edits |
| Annual review of active vendors | Stale records |
Why it pays
A clean vendor master cuts duplicate payments, closes the easiest route to payment fraud and makes compliance checks such as MSME payment timelines possible at all.
Our fraud and duplicate payments work starts with the vendor master, and CompliBear TPRM keeps watching it once it is clean.
